Printer not detected

Printer Not Detected in Windows 11

Do not treat every missing printer as a driver problem. First prove whether the connection is USB, Wi‑Fi/network or Bluetooth, then check whether Windows can discover the device.

Identify the printer connection before reinstalling anything

Works from phone, missing on PCFocus on Windows discovery/network profile/driver rather than printer hardware.

1. Prove the physical or network connection

For USB, connect directly to the computer and try another USB port before replacing drivers. For a wireless printer, confirm the printer is connected to the same Wi‑Fi network as the Windows PC. Mesh systems, guest networks and separate SSIDs can make two devices look connected while preventing discovery.

2. Try Windows printer discovery

Open Settings → Bluetooth & devices → Printers & scanners and use Add device. Give Windows time to populate the list. If the printer is not found, use the manual-add option rather than repeatedly installing vendor utilities.

If Windows finds the printer, complete installation and then check Windows Update for driver updates.

3. Restart the Print Spooler only when Windows printing is stuck

The Print Spooler manages printer queues. If the printer was previously installed but discovery/queue state is stuck, press Windows + R, run services.msc, find Print Spooler, and restart it. This does not prove the printer is reachable, so connection checks still come first.

4. Remove one broken printer entry and reinstall cleanly

If the printer appears as an old/offline/duplicate entry, remove that specific printer from Printers & scanners, restart the PC if needed, and add it again. Use Windows Update or the printer manufacturer's current support page for drivers.

On ARM-based Windows PCs, Microsoft currently recommends the Windows add-printer flow when a manufacturer's installer cannot add the printer.

Avoid destructive resets when the evidence is still basic

Do not clear the whole spool folder, remove every printer driver, reset the network stack or edit the registry just because one printer is missing. Those actions can break working printers and hide the original symptom.

Verify the repair

  • The printer appears once in Printers & scanners.
  • Windows can print a test page.
  • The printer stays available after restart.
  • For network printers, the PC and printer remain on the intended network.

Frequently asked questions

Why can my phone find the printer but Windows cannot?

The printer may be healthy while the Windows PC is on a different network segment, has stale printer configuration, or needs the correct driver/discovery path.

Should I restart the Print Spooler?

It is useful when the Windows printing service or queue is stuck, but it will not fix a powered-off printer or a network printer the PC cannot reach.

Do I need the manufacturer installer?

Not always. Windows supports many printers directly and can obtain drivers through Windows Update; vendor software is mainly needed for model-specific features.
